2. Information We Collect

We may collect the following types of information:

Account and business information

This may include your name, business name, email address, phone number, country, business category, role, login details, billing details, and account preferences.

Business verification information

Where required, we may collect information used to verify your business, identity, ownership, payment method, connected channels, or authorization to use SalePilot.

This may include business registration details, identity verification information, and documents submitted during onboarding.

Customer communication data

When your business connects channels such as WhatsApp, Instagram, Facebook, website chat, email, or other supported platforms, SalePilot may process customer messages, contact details, conversation history, message metadata, attachments, tags, notes, and related customer activity.

Campaign and contact data

If you use campaign features, we may process contact lists, email addresses, phone numbers, customer segments, campaign content, delivery status, unsubscribe preferences, and engagement activity.

Payment and billing information

We may collect billing information, subscription details, payment status, invoices, usage records, wallet top-ups, and transaction references. Payment card details are handled by payment processors and are not stored directly by Kovalinq Technology Limited.

Usage and technical information

We may collect device information, IP address, browser type, log data, pages visited, actions taken, error reports, session activity, and security-related events.

3. How We Use Information

We use information to:

  • Provide, operate, and improve SalePilot
  • Manage customer conversations and connected channels
  • Support team collaboration and customer follow-up workflows
  • Enable campaigns, contact management, and customer engagement
  • Provide AI assistance on eligible plans where enabled
  • Process billing, subscriptions, wallet usage, and invoices
  • Verify accounts, businesses, connected channels, and payment methods
  • Protect against fraud, abuse, spam, unauthorized access, and platform misuse
  • Provide customer support and respond to requests
  • Comply with legal, regulatory, tax, accounting, and platform requirements

4. AI Assistance

SalePilot may include AI assistance on eligible plans. AI assistance can support suggested replies, summaries, campaign content, workflow assistance, and approval-based responses.

AI assistance does not replace business judgment. Businesses remain responsible for reviewing customer communication, campaign content, sales actions, regulated advice, payment confirmation, and any customer-facing decision.

We do not use AI assistance as a hidden background monitoring system. AI-related features are tied to enabled product workflows and business controls.

5. Connected Platforms and Third-Party Services

SalePilot may connect with third-party platforms and service providers, including social messaging platforms, email providers, payment processors, cloud hosting providers, analytics tools, verification providers, and customer support tools.

Examples may include Meta services such as WhatsApp, Facebook, and Instagram, Telegram, as well as other platforms such as TikTok and LinkedIn when integrations become available after approval.

The subprocessors we use to run SalePilot, and what each one handles:

  • InsForge — database, authentication, file storage, and backend functions. Processes all workspace data.
  • OpenAI and Google (Gemini) — AI-generated replies, summaries, and catalog assistance. Processes conversation content submitted for AI features.
  • Resend — transactional and campaign email delivery. Processes recipient addresses and email content.
  • Paystack — subscription billing and payment processing. Processes payment and billing details.
  • PostHog — product analytics. Processes usage events, not message content.
  • Cloudflare (Turnstile) — bot and spam protection on public forms.
  • Sentry — error monitoring and performance tracing. Processes stack traces and request metadata, not message content.
  • Meta (WhatsApp, Facebook, Instagram), Telegram, TikTok, LinkedIn — connected messaging channels, only for businesses that link an account. Processes messages sent and received through that channel.

Your use of connected platforms is also governed by their own terms, privacy policies, permissions, pricing, and platform rules.

6. WhatsApp, Messaging, and Usage Data

Where WhatsApp Business features are enabled, SalePilot may process WhatsApp messages, customer details, templates, delivery status, response window status, message category, usage activity, and related billing events.

WhatsApp Business Platform pricing may depend on message category, recipient market, and whether a message is delivered. Meta identifies categories such as marketing, utility, authentication, and service, although SalePilot does not currently support WhatsApp authentication messages.

7. Email Campaigns and Unsubscribe Data

If you use SalePilot email campaign features, we may process campaign recipients, sender domains, email templates, unsubscribe requests, bounce events, suppression lists, and campaign performance information.

Businesses are responsible for ensuring they have proper consent to contact recipients.

8. How We Share Information

We may share information with:

  • Service providers that help us operate SalePilot
  • Payment processors for billing and subscription processing
  • Verification providers for account and business checks
  • Connected platforms selected by the business
  • Email, messaging, and hosting providers
  • Professional advisors, auditors, insurers, and legal representatives
  • Government authorities where required by law
  • Buyers or successors in a merger, acquisition, financing, restructuring, or sale of assets

We do not sell customer conversations.

9. Government and Legal Data Requests

When a government authority, law enforcement body, or other third party formally requests personal information, we handle that request under the following policy.

Legality review

Every request is reviewed before any information is disclosed. We verify that the request is legally valid, issued through the appropriate process, within the jurisdiction of the requesting authority, and sufficiently specific to the information sought. Requests that fail this review are not honored.

Right to challenge

Where a request appears unlawful, overbroad, procedurally deficient, or inconsistent with applicable law, we reserve the right to challenge it through appropriate legal channels, including seeking clarification, narrowing, or withdrawal of the request. Where legally permitted, we will notify the affected business or individual before responding, except where notice is prohibited by law, subject to a valid gag order, or would create a genuine risk to someone's safety.

Data minimization

We disclose only the minimum information necessary to satisfy the specific scope of a valid request. We do not provide broader access to customer conversations, business data, or account information than what the request lawfully requires.

Documentation

We keep a record of each request received, including the requesting authority, the legal basis and reasoning relied on in our review, the personnel and legal counsel involved in the determination, and the response provided. These records support accountability and are retained in line with our data retention practices.

10. Business Customer Responsibilities

Businesses using SalePilot are responsible for the customer data they upload, connect, import, send, or process through the platform.

Businesses must ensure they have appropriate rights, consent, notices, and lawful basis to communicate with customers, upload contact lists, send campaigns, use connected channels, and process customer information.

11. Data Retention

We retain information for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support business operations.

Businesses may request deletion of account data, subject to legal, billing, security, backup, and compliance requirements.

12. Security

We use reasonable technical and organizational safeguards to protect information against unauthorized access, loss, misuse, disclosure, alteration, and destruction.

No system is perfectly secure. Businesses are responsible for protecting their login credentials, team access, connected channels, and internal account permissions.

13. International Transfers

Kovalinq Technology Limited may process and store information in countries outside your location. These countries may have different data protection laws.

Where required, we use appropriate safeguards for international data transfers.

14. Your Rights

Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain uses of your personal information.

Business account owners can export or permanently delete their workspace's data directly from Settings → Data & Privacy. For any other privacy request, contact:

15. Cookies and Tracking

We may use cookies and similar technologies to operate our website, remember preferences, analyze usage, improve performance, and support security.

SalePilot is intended for business use. It is not intended for children or individuals who cannot legally enter into business agreements.
